Provider Reference Guide: Epic Transition

BMC Health System is pleased to announce that its two community hospitals, BMC Brighton and BMC South, will be transitioning to a new electronic medical record (EMR) system, Epic, on November 1, 2025. This initiative to move to one medical record for all clinical activity and data within our system – inpatient, outpatient, ED, labs, radiology, OR and more – will strengthen and elevate patient care and communication across the BMC system hospitals, and enhance care coordination, streamline workflows, and improve the patient and provider experience. As a valued partner in delivering this care, BMC Health System is committed to ensuring that you stay connected to your patients’ care.

Accessing Your Patient’s Records and Clinical Information

  • All BMC Brighton and BMC South (formerly St. Elizabeth’s and Good Samaritan) patient records will be uploaded into the BMC Health System Epic. If you currently access patient records via SMG Athena or SMG Meditech, your view will transition to read-only on November 8, 2025. You will continue to have view-only access to these records until December 31, 2025, on Meditech, and March 31, 2026, on Athena. Note: The timeline for Carney Hospital historical patient records to be uploaded to BMC Health
    System Epic is later in 2026.
  • Through ChartLink, a secure, web-based portal (also known as EpicCare Link), you can view real-time patient activity in Epic without an Epic license, including referrals, consult notes, lab and imaging results, and discharge summaries. Directions for accessing ChartLink are provided later in this document.

Ordering Labs and Imaging

Orders for radiology should be faxed to the following numbers:

  • BMC Brighton Radiology (call 617.789.2736 for questions)
    • Imaging fax: 617.562.7851
    • Breast imaging fax: 617.779.6093
  • BMC South Radiology (call 508.427.2665 for questions)
    • Imaging fax: 508.427.2368
    • Breast imaging fax: 508.484.7320
  • Orders for labs at BMCHS can be placed through ChartLink (see below section on ChartLink access for more detail).
    • Pathology & Laboratory results generated by BMCHS Labs will be visible in ChartLink or through CareQuality in your EHR.

Placing Referrals

You can submit patient referrals through the following pathways:

  • For physicians with full BMC Epic access: you may enter referrals through BMC Epic
  • By faxing our central fax line: 617.638.6756
  • By submitting a referral order via ChartLink
  • Urgent referrals may be made through ChartLink (recommended) or by phone: 617.638.8000

Access to BMC ChartLink (EpicCare Link)

  • To get started accessing ChartLink accounts, visit https://ChartLink.bmc.org
  • Your organization will need to sign documentation within the website to access ChartLink.
  • Complete the ChartLink training. The training is accessible from the ChartLink home workspace and consists of a variety of self-paced, independent learning resources.
  • Prepare your team for go-live. Ensure that all staff have logged in, completed training, and feel confident with accessing ChartLink prior to our November 1 transition.

Communication and Collaboration Between Teams

  • Secured messaging between you and your practice and the BMC care teams is available through ChartLink.
  • Alerts can be received through ChartLink or through email (if notifications have been turned on through ChartLink settings>notifications) when a referred patient is admitted, discharged, or has key results posted in their records.
  • We will contact you directly (per our policies and procedures) if a critical value or abnormal finding needs to be communicated.
  • We will continue to submit a data feed to MA Admitted/Discharged/Transferred (ADT) solutions such as Bamboo Health and PointClickCare. You will not experience any disruptions to this process.
  • Discharge summaries and after visit summaries will be sent to ordering providers and PCPs through Care Everywhere or via fax.

Communication with Patients about the Transition to Epic/MyChart

  • In-hospital and in-clinic signage and materials have been in place since late September to inform patients of the impending change.
  • Print and online materials encourage patients to register for and actively use MyChart, Epic’s patient
    portal, as a key tool for managing care.
  • Our Marketing and Communications team will use tactics that include in-person materials, email, and SMS/text messaging to drive enrollment and sustain patient engagement with MyChart.
  • Providers can assist patients in enrolling in MyChart through ChartLink.
